Note: The new Military Joint Services Transcript (JST) Opt-In question and data field was added to the CCCApply Standard Application earlier this month as part of the CCCApply v.6.21 release. If you did not take action to update your current data schema to receive the new field, please see the Data Access & Delivery section below for details.

 

Release Summary

The Student Success Suite (SSS) v.1.2 release is a combined deployment of updates and feature enhancements to CCCApply (v.6.22) and OpenCCC (v.3.2). The priority updates in this release include:


OpenCCC Enhancements

The Social Security Number Question Move to OpenCCC

The Social Security Number question has been re-integrated with the OpenCCC system and will now display as a required question to all students as they move through the OpenCCC account creation and edit account workflows. Previously situated in the CCCApply Standard Application, moving the existing question and data fields into OpenCCC did not change any aspect of the user interface, the question layout or language, or any of the existing data fields specs or data delivery.

Scope of integration:

  • Move the existing Social Security Number/Taxpayer Identification Number (SSN/TIN) question from the CCCApply Standard Application to the OpenCCC Account system workflows (Account Creation and Edit Account);

  • Add the SSN/TIN fields into the OpenCCC Account Creation process for single accounts. Updates to the bulk account creation process coming in next OpenCCC release (v.3.3.0).

  • Migrate and store existing SSN/TIN data to our secure identity access management system and related services;

  • Maintained secure data delivery via existing conductor workflows to downstream services and applications including the CCCApply Report Center, CCCApply Administrator, Data Warehouse and the Data Warehouse Report Server; 

  • Enhanced account matching logic to minimize duplicate accounts.

 

How It Works

All new users are now presented the Social Security Number question during the OpenCCC account creation process and are required to provide a response. A “Yes” response requires the student to enter a valid social security or taxpayer identification number. A “No” response indicates that the student has no social security number or taxpayer identification number or declines to provide one at that time.

If the student selects the “No” response to the question, an optional checkbox will display at the bottom. This SSN Exception checkbox allows international students, students enrolling exclusively in noncredit courses, and students that are not currently citizens or nationals of the United States, indicate that they may meet the criteria for not providing a social security number or taxpayer identification number.

If the student does not provide a SSN/TIN during account creation, they are able to provide one at a later time on the Edit Account page.

Implementation & Testing Notes:

  • College Preview: Colleges may preview the Social Security Number question to the OpenCCC Account is available to preview and test in the pilot (sandbox) environment. For information accessing your college’s Pilot environment, see Release Preview: Pilot Environment below.

  • User Interface & Behavior: All aspects of the legacy Social Security Number question user interface (behavior, look & feel, error validation, display conditions, etc.) were not changed with this move from CCCApply to OpenCCC system.

  • No Data Field Changes: No changes were made to the existing SSN/TIN data field specifications with this move to the Account system. The SSN/TIN fields are:

    • No SSN <ssn_no>

    • SSN Exception <ssn_exception>

    • SSN Type <ssn_type>

    • SSN Last 4 <ssn_last4>

    • SSN <ssn> (never exposed or displayed to end user or college staff).

  • The SSN/TIN data fields are specified in the CCCApply Data Dictionaries.

  • The full SSN data field string <ssn> will always be encrypted and never exposed to the end user or college staff until the data reaches your secure SIS or other internal system.

  • No Data Delivery Changes: All SSN/TIN data field responses will continue to be delivered to colleges with submitted application data (with all CCCApply Standard, Noncredit, International, and CCPG applications).

  • No Superglue Data Schema Update Required: The move of the Social Security Number question to OpenCCC does not require a Superglue data schema update. SSN/TIN data fields were already part of your Superglue schema version.

  • Available to Downstream Systems: All SSN/TIN data - except the full SSN <ssn> string - will continue to be delivered and stored in downstream systems for ad hoc reporting and custom rules & messages (CCCApply Report Center, CCCApply Administrator, and the Data Warehouse).

Account System Enhancements

Several enhancements were made to the OpenCCC Account system in this release. For security reasons, these updates will only be summarized below.

  • Quarterly Keycloak upgrade to v.26.2.5

  • New PII service implemented to maximize security of student personal information

  • Account matching logic has been updated to minimize duplicate accounts

 

Account Bug Fixes

Several important bug fixes were made in the OpenCCC Account system in this release, including an issue related to colleges receiving SSN/TIN data via the Superglue College Adaptor where the number does not confirm to the standard as specified in the CCCApply Standard Data Dictionary. Colleges reported noticing this problem because the non-conforming strings tended to interrupt their SIS workflows. With the move to the OpenCCC system, this issue has been resolved.


CCCApply Enhancements

Social Security Number Question Removed from CCCApply

As part of the integration of the Social Security Number/Taxpayer Identification Number (SSN/TIN) in the OpenCCC Account system, the question collecting SSN/TIN data was removed from the Profile page of the CCCApply Standard Application.

As with all OpenCCC information, all student account data, including the SSN/TIN responses, will continue to be included in the CCCApply Review Application responses and will continue to be delivered and shared with colleges in all CCCApply downstream services.

 

Reminder: No changes are required by colleges to continue to receive SSN/TIN data via Superglue for Apply, Ethos for Apply, or other SIS delivery system with this release. In addition, colleges may continue to run ad hoc reports with SSN/TIN data* in the CCCApply Report Center and the Data Warehouse Report Server.
*All SSN/TIN fields continue to be available for reporting other than the encrypted <ssn> data which is only available via secure delivery directly to your college staging table and authorized administrator access in the Data Warehouse Report Server.


Our Commitment to Prioritizing Fraud Prevention Efforts

The CCCTC is committed to identifying and mitigating application and financial aid fraud across all Student Success Suite systemwide technology applications, including OpenCCC, MyPath, and CCCApply. For security reasons, all fraud prevention activities and development are never shared publicly outside of the CCCTC Private Fraud/Spam Support Group.

Release Preview: Pilot Environment

Following the deployment of the SSS v.1.2 pilot release, colleges are encouraged to preview the changes in their college’s pilot environment - which is a sandbox environment for college testing. Colleges may review the changes using the CCCApply pilot test college.

Alternately, navigate to your college-branded pilot application, replace the last three digits of the link above (ZZ1) with your unique college MIS code. Remember to update the link text as well as the URL.

No formal college training or testing activities are scheduled during the pilot preview period; however colleges are encouraged to provide feedback to your College Experience Manager (CEM) or get support from the CCCTC Staff Support team.

Instructions for Previewing in the Pilot Environment

  1. Navigate to your college’s unique CCCApply Pilot site URL - or use our generic CCCApply pilot test site listed below.

  2. Sign in with your existing pilot testing account credentials or create a new account for by clicking on “Create An Account” on the Sign In page.

  3. Report any issues encountered during your testing. Send feedback or report any bugs with our CCCTC Staff Support team: staffsupportccctc@openccc.zendesk.com.


Data Access & Delivery

No update is required to your current Superglue data schema version to receive SSN/TIN data via Superglue for Apply, Ethos for Apply, or other SIS delivery system with this release.

No changes are required by colleges to continue to receive SSN/TIN data via Superglue for Apply, Ethos for Apply, or other SIS delivery system with this release. In NOTE: The Superglue v.5.2.2 schema update containing the new Military Joint Services Transcript (JST) Opt-In data field is now available in production. The information below provides general information about CCCApply data access and delivery.

Superglue for Apply

As new features and functionality are developed for CCCApply and other systemwide technology applications, it may be necessary for colleges to upgrade their existing Superglue College Adaptor schema to the latest version. For information about the Superglue College Adaptor and your current schema version, please contact your College Experience Manager at Enabling Services for assistance.

Data Warehouse Access

All CCCApply and Student Success Suite data fields are ultimately stored in the CCC Data Warehouse which can be accessed directly via the Data Warehouse Direct Access Connection service and/or, for authorized admins and staff, through the Data Warehouse Report Server.
