COCI User Roles

User roles are hierarchical in terms of which permissions and system access is granted for each role. The user role scheme is as follows (highest to lowest): CCCCO Admin, CCCCO Reviewer, College Submitter, COCI Read Only.

CCCCO Admin

CCCCO Admin is the super-user role assigned to Chancellor’s Office admins. This role can do all of the functions of other user types including submitting programs and courses, reviewing programs, activating courses and provisioning and managing user accounts.

Additionally, users in this role can Create a Common Course in COCI which uses common course numbering, allowing a course to have shared attributes across the California Community Colleges system and making it more transferable.

What sets the CCCCO Admin role apart from the others are the available COCI administrative functions available in the Site Administration tab. Here a CCCCO admin can manage user notifications displayed on the site, configure the way some of the content is presented on the site, manage and edit TOP and CIP codes, make universal changes to the permissions for all of the user roles.

This is also the only user role that can impersonate another user for support purposes - to login as the user who needs assistance and experience the problem they are having in order to provide recommendations.

CCCCO Reviewer

The CCCCO Reviewer role is for Chancellor’s Office administrative staff who review and approve programs submitted by College Submitters. This role provides all of the access permissions held by the COCI Read Only role and the College Submitter role, but in addition, also allows access to the Curriculum Reviews tab.

When you are logged in as a CCCCO Reviewer, you will conduct reviews in the My Programs and My Courses in the Curriculum Reviews tab. Your queue of submitted programs and courses for review are contained on these pages. To search for submitted programs and courses and add or remove them to or from your queue, you must go to the All Programs and All Courses pages in the Curriculum Submissions tab and click Add to Queue or Remove from Queue.

College Submitter

The College Submitter role is assigned to Curriculum Specialists at individual campuses and districts. It is the top level user role at the college and district levels. The role allows you to work in the All Programs and All Courses pages from the Curriculum Submissions tab to create program and course submissions and change status. Only the programs and courses for your assigned college or district are available to you in the All Programs and All Courses pages.

Beyond managing programs and courses, the College Submitter role enables you to provision and manage COCI accounts for users at your assigned college or district from the Users page in the Configure Accounts tab.

Additionally you have read-only access to TOP Codes, CIP Codes when logged in as a College Submitter.

 

COCI Read Only

In this role, you are allowed to log into the system and access the Curriculum Submission menu from the navigation bar. From this menu, you can view the All Programs and All Courses pages and look up programs and courses for the campus or district that your account is assigned to. You may view all the information related to a program or course including course association, attachments, and the approval and field change history of a submitted program or course, but the role does not allow you to add, edit, or delete any information.

This role is commonly assigned to Articulation Officers to view details beyond the publicly accessible record for a program or course including those that are in draft or deleted status which are not included on the public report. Others assigned the COCI Read Only role include members of the Academic Senate, faculty, and Chancellor’s Office administrative staff members who are not responsible for approving transcripts.
