Create a Common Course in COCI
The creation of a common course begins with an approved common course numbering template. These are posted on the Chancellor’s Office site’s Course Outine of Records page.
The common course numbering templates are provided by a team of faculty and approved by the Chancellor’s Office. To create a common course, you must manually transcribe the entries in the downloaded common course numbering template to the corresponding data fields in COCI. Make sure that you transfer the data correctly as the approved information from the common course numbering template may not be altered.
Note: Only CCCCO Admins can configure admin templates for common course numbering in COCI.
Download the common course numbering template that you wish to use from the Course Outine of Records page.
Have the common course numbering template ready to refer from.
In COCI’s left navigation panel, navigate to Manage Transfer Curriculum > CNN (common course numbering).
The Common Course Numbering page appears which shows all of the existing common courses in either Draft, Active, or Approved status.
Click the + Create Common Course Numbering button.
In the Create Common Course Number page, enter the Subject and Course Title found on the common course numbering template.
For the Department Name (CB01A) field, enter the “Subject Code” from the common course numbering template.
For the Department Number (CB01B) field, enter the “Proposed Course Number” from the common course numbering template.
Note: For the two fields Department Name (CB01A) and Department Number (CB01B), the identifiers are different from the common course numbering template. On the common course numbering template they are identified as Subject Code and Proposed Course Number. The reason for this is that there is a discrepancy between the terminology used by faculty (who create the common course numbering template) and administrative staff (who enter the common course into COCI). The COCI system must use the terms Department Name (CB01A) and Department Number (CB01B) because those field labels are structured data elements in the MIS (Management Information Systems) Data Dictionary, which it must adhere to.
Enter the Common Course Number. For this entry, type the Department Name, add one space, and then type the Department Number.
Example: POLS<space>C1000
Note: The Common Course Number is not present on the common course numbering template, but rather a number that you create by combining the Department Name and Department Number in COCI.
Under Course Includes, select Lecture Course, Lab Course, or both.
Assign a CIP Code to the common course using the drop-down menu.
Click the Save Changes button.
A banner is displayed indicating that your common course number has been successfully saved.
In the Summary tab, copy and paste the following content from the common course numbering template into COCI:
Catalog Description
Semester Schools Units of Credit - Minimum (CB07) or Quarter Schools Units of Credit - Minimum (CB07)
Representative Texts, Manuals, and/or OER that is equivalent, Other Support Materials
Click the Save Changes button to continue to the next tab.
In the Detail tab, copy and paste in the following information from the common course numbering template:
Course Content, Required Topics
Objectives/Outcomes
Methods of Evaluation
Select either Save or Submit in the drop-down menu at the bottom right corner of the page.
Return to the Common Course Numbering page list to view your saved or submitted course by going to Navigation Panel > Manage Transfer Curriculum > CNN.
A saved common course number is marked Draft.
A submitted common course number is marked Approved.
Note: All common course numbers submitted by a CCCCO Admin are automatically approved.
Attention: Be aware that if you edit the attributes, summary or details for your approved course from the CNN page list, any changes that you make will pass on to all of the courses in the system that have been assigned the course number.
