Manage TOP Codes in COCI

How to Manage TOP Codes

Taxonomy of Programs (TOP) codes define the general field of study associated with an academic program. A California Community Colleges Chancellor’s Office (CCCCO) Admin can edit TOP codes or create a new TOP code on the Manage TOP Codes page. To access the page, go to Site Administration > TOP Codes from the left navigation panel.

Note: College Submitters may view TOP codes for reference, but they are not allowed to edit or create them.

Note: If you are creating a new TOP code, the numbering and name for the TOP code must align with the Program and Course Approval Handbook published by the Chancellor’s Office.

 

Edit a TOP Code

  1. From the left navigation panel go to Site Administration > TOP Codes — you are taken to the Manage TOP Codes page.

  2. Search for a TOP code by Program Code, Sub Program Code, Reproduction Code, or by typing in the Search field. Then click Filter Results.

  1. Click Edit in the Action column of the TOP code list for the TOP code that you wish to edit.

  2. You may edit the Program Code, Sub-Program Code, Reproduction Code and Name, but typically this is not done unless during a major review process.

  1. You can change whether or not a TOP code is considered vocational or not using the checkbox under Vocational. This affects validation checks within the system.

  1. Make a selection for Status to make the Top code active or inactive.

  1. The checkbox under Program Only determines if the TOP code will only appear in program submission forms, or if the TOP code will be shown for both course submission forms and program submission forms.

  1. You can control what CIP codes (specific fields of study) are available for selection under your TOP code (general field of study) in program submission forms by using the Crosswalk in the CIP Code Alignment area of the Manage TOP Codes page.

  2. To add a CIP code to a TOP code, select a CIP code in the Crosswalk CIP Codes field and then click Add to Crosswalk.

  1. The CIP code will then appear in the CIP Codes Associated with TOP Code area of the Manage TOP Codes page.

  1. To disassociate a CIP code from your TOP code, click Remove in the Action column.

  2. Once you have added a CIP code to a TOP code via the Crosswalk, it will be selectable for that TOP code by College Submitters when they are creating or editing programs in the Programs page under Curriculum Submissions > All Programs.

Note: The CIP code 99.9999 Unknown is available under all TOP codes by default.

 

Create a New TOP Code

  1. From the left navigation panel go to Site Administration > TOP Codes — you are taken to the Manage TOP Codes page.

  2. Click + Create New TOP Code.

  3. Enter the following information in the New TOP Code page:

  • Program Code

  • Sub-Program Code

  • Reproduction Code

  • Name

  1. Make a selection for Status by selecting or deselecting the checkbox to make it active or non-active.

  2. Make a selection for Vocational by selecting or deselecting the checkbox to make it active or non-active. This affects validation checks within the system.

  3. Make a selection for Program Only. This determines if the TOP code will only appear in program submission forms, or if the TOP code will be shown for both course submission forms and program submission forms.

  4. Use the CIP Code Alignment Crosswalk to add CIP codes for the TOP code that you are creating.

  5. Click Save Changes to add your TOP code to the system.
