Release Overview

COCI 4.7 introduces key enhancements across curriculum submissions and site administration, focusing on streamlined review communication, in-app guidance, modern form navigation, and improved integration workflows.

  • Curriculum Submission Comments: Adds a persistent, accessible Comments panel across all tabs, enables adding comments without entering edit mode, requires return reasons on rejected submissions, and provides unread comment notifications.

  • Content Editor Field Tooltips: Adds a dedicated tooltips management area under Content Editor allowing CCCCO Admins to create, edit, filter, and publish in-app field tooltips for courses and programs.

  • Course Form Tab Navigation: Introduces a responsive, keyboard-navigable tab structure (Course Metadata, Course Basic Codes, and COR Components) with seamless tab switching and persistent metadata layout.

  • MIS Integration & Approval Letters: Implements batch rate limiting and error-status preservation for MIS syncs, updates approval letter templates (Sonya Christian header and CIP codes), and allows generating letters directly from read-only records.

Course Form Tab Navigation and Metadata Layout

Establishes the foundational tab structure and shared form layout for the redesigned course form. The form now includes three tabs — Course Metadata, Course Basic Codes, and COR Components — with Course Metadata as the default active tab. Users can move between tabs without a full page reload, and the selected tab persists on page refresh.

The Course Metadata tab uses the approved multi-column form container with consistent field spacing, alignment, and page padding. The layout accommodates fields of varying heights — including long labels, help text, and validation messages — without overlap or layout breaks. On narrower screens, the layout stacks into a single-column order without horizontal scrolling or clipped content.

The structure supports both edit mode and published read-only mode and sits cleanly beneath the completed course header without duplicating header content. Tab controls are fully keyboard-navigable with visible focus states and consistent visual and screen-reader ordering.

MIS Integration

MIS Retry Sync - Batch Rate Limiting

The MIS retry process now dispatches failed course syncs in controlled batches rather than all at once. A new Max Retry Batch Size setting (default: 100) has been added to the MIS Retry Settings page, alongside the existing retry configuration options. When the retry queue exceeds the configured batch size, only the oldest-eligible courses are processed per run, with a short delay between each MIS request. This prevents a large backlog - such as one that builds up after an integration outage - from overwhelming the MIS API and slowing down recovery. All existing retry controls (enabled toggle, max attempts, retry interval) remain unchanged.

MIS Integration – Preserve Review Status on System Errors

When a course is approved and the MIS submission returns a system-level error, the course status will now remain in Review rather than being incorrectly moved to Revision. Only MIS responses indicating a data validation issue will trigger a status change to Revision.

  • System errors from MIS no longer change the course status after approval

  • Data validation errors continue to result in Revision status as expected

  • MIS response messages are now displayed on the course form, visible on both the Review page and Manage view

  • The re-sync process now surfaces MIS validation errors to users during the review workflow

Approval Letters

Approval Letter Template Updated

The templates for course and program approval letters have been updated to show the current chancellor and other curriculum record information.

  • The chancellor name in the upper-right header is now Sonya Christian on all newly generated approval letters.

  • All programs and courses with approval letters generated between June 1, 2023 and the release date have had their letters regenerated to list Sonya Christian in the header.

  • For each record, a regenerated approval letter retains the original approval date if the original was generated between June 1, 2023 and the release date.

  • CIP code now displays on all program and course approval letters going forward.

  • A newly generated letter replaces the existing one.

Generate Approval Letters from Read-Only / Published Records

College Submitters and CCCCO Admins can now generate approval letters directly from the read-only or published record view, eliminating the need to open a record in edit mode and risk triggering the approval workflow.

  • The Generate Approval Letter field and toggle are displayed on the read-only/published record page for both college submitters and CCCCO Admins

  • On the Manage page, the Generate Approval Letter field and toggle are visible to CCCCO Admins only; college submitters do not have access on that view

  • When the toggle is enabled, all letter-generation functionality available in edit mode becomes accessible without opening the record for editing

  • Upon clicking Generate Approval Letter, the field closes and the updated approval letter renders immediately

  • The record history is updated with the date and time the letter was generated

  • The record status remains unchanged

  • CCCCO Reviewers and COCI read-only users cannot perform this action

Comments for Submission and Review

Comment Visibility & Placement

Comments for curriculum submissions were previously under the Contact tab, requiring Submitters and Reviewers to navigate there to view remarks. Comments now appear in a Comments panel accessible on all tabs except to users with the “COCI Read Only” role, who do not see the panel.

  • For all other roles, comments display chronologically with the user, timestamp, and role.

  • Users without comment permissions see comments as read-only.

  • A11y: Comments are keyboard accessible and screen reader compatible.

Add Comment (Non-Edit Update)

Submitters and Reviewers can quickly update comments for a course record without entering edit mode.

  • “Add Comment” input is always available when role and permissions permit.

  • Adding a comment does not switch the form to edit mode or trigger the unsaved-changes guard.

  • Saving a comment records the user and timestamp and appends the comment to the thread.

  • Empty submissions are not allowed; an inline error appears.

  • A11y: Input field includes a descriptive label; error states are announced.

  • Announce updates via screen reader.

Required Return Reason

Reviewers must provide a reason and actionable feedback when returning a submission to a submitter.

  • Selecting the “Return” workflow action requires a comment.

  • Attempting to complete the action without a comment displays an inline error.

  • The returned status banner links to the comment thread for context.

Comment Notifications

Submitters receive an alert when a comment is added to a course record.

  • New or unread comments trigger a visual indicator in the header (badge or highlight).

  • The indicator clears when the user views the comments.

  • Accessibility: the indicator state is announced to screen readers.

Field Tooltips

Field Tooltips Added Under Content Editor

A Field Tooltips page has been added under the Content Editor tab in the left navigation panel to allow CCCCO Admins to manage tooltips.

View Course and Program Field List with Tooltip Status

A consolidated list of course and program fields with tooltip status is available to CCCCO Admins so they can quickly find items that need adding or updating.

  • List includes a Form Field Status column with values Active and Inactive.

  • Filters include Form Field Status: Active, Inactive, All.

  • Default filter is All (shows both Active and Inactive).

  • Search and sort apply to both Active and Inactive fields.

  • Inactive fields remain selectable so admins can view tooltip configurations and history.

Create a tooltip for a Course or Program Field

CCCCO Admins can add tooltips to a course or program table field to provide user guidance.

  • Admin clicks edit in the action column.

  • Required inputs: Narrative text, Display behavior setting.

  • Date added auto-populates on create.

  • Default tooltip status is Inactive (or system default) and is shown in the list.
