BOG Deployment Steps

When your College(s) has completed all Development project steps, use these steps to prepare for deployment.
 

Schedule Go Live Checklist Meeting

If your project is ready to move from development (Pilot) to deployment (Production), please contact Patty Donohue pdonohue@ccctechcenter.org to schedule your deployment checklist meeting. This meeting is required and must be held at least two weeks before your planned Go Live date.

Step-by-step Checklist

  • Create a download job for production.
     
  • Create a schedule to run the download job in production.
     
  • In the production Administrator, indicate your "BOG Year" in the College table (tab) and click "Update" to confirm.
     
  • Add BOG Users with Add-User and Use Only authority:

    1. Ensure that all User accounts set up in the Pilot environment are duplicated in the production environment.  
    2. Set up new Users to use the Pilot and Production Report Center*.  Pertains only to New users that do not already have a production Report Center account (i.e., Financial Aid staff, Research, etc.). 
    3. Ensure that Users have only one account per EPPN, per application, per environment. For example, Joe Doe cannot have a BOG Administrator User account under MIS code 741 and 740. 

    Authorized Users for Each Application
    In order to access the Administrator (for each application) and the Report Center, designated Staff members must have a User account set up for
    each individual application, including the Report Center. All User accounts are set up in the Administrator (even users for the Report Center). To set up user accounts for each application, log in to the Administrator and select the "Application" from the drop down menu on the home page. Navigate to the Users tab and set up users as described in the CCCApply User Guides. Repeat the process for each application that user will be authorized to access. 

     

  • Migrate all Rules and Messages from Pilot to Production.
     
    1. Rule messages can be copied and pasted from Pilot to Production.
    2. Rules can be copied and pasted from Pilot to Production.
       
  • Notify your college staff of the student Help Desk/Support email & phone number:

  • Add Instructions from XAP BOG intro page on your college website. 
     
  • Change all BOG apply buttons/links on college website to point to new URL.
     
  • Discuss go live date with CCCTC staff and schedule final checklist meeting for two weeks prior to that date.
     
  • Disable BOG Year in XAP to prevent new applications.
     

For Internal Use Only - CCCTC & Unicon

  1. CCCTC notifies Development of go live date and determines date to move BOG keystore from Pilot to Production. 
  2. Unicon updates the Go Live date in the College table for all colleges in the district.
  3. CCCTC advises Help Desk of new BOG colleges - one week before live link is made available to students on college website.
