PeopleSoft Updates for Course Exchange 2.0

With Course Exchange V2.0 it's now possible for student financial aid information to be shared and automated between the student's Home College and any Teaching College.

New features:

  • When a CCC student doesn't have access to a certain course(s) at their Home College, they may enroll in that course from another CCC (Teaching College) through Course Exchange. 
  • However, students can only be awarded financial aid from their Home College. Course Exchange 2.0 incorporates elements of the CCC Tech Center's project GLUE and Course Exchange college adaptor APIs to automate the combining of Home College and Teaching College units in order to award financial aid.
    • Students' enrolled units at the Teaching College get automatically entered into the FRCC Additional Credits (Colleague) and/or the ROAENRL (Banner).
    • The Home College correctly sums the student's total-attempted units, applying financial aid across courses taken from both the Home College and Teaching College.
    • Course Exchange students are now flagged with an identifier at the Teaching College so that the Teaching College's Financial Aid Office can optionally bypass financial aid processing for those students. (i.e. The Teaching College can write a rule in their SIS system to ignore the auto packaging of PELL grant awards for Course Exchange students.)
    • If a student drops or withdraws from a Course Exchange course, those dropped units are automatically reported to the Home College so financial aid can be computed correctly.

College Admin/Staff can:

    • use Course Exchange Admin web application to set email notification preferences/frequency for when a Home College student enrolls/drops a course

    • make appropriate changes to the student's Financial Aid records

    • view reports for financial aid changes

Students can:

    • elect to share BOG Fee Waiver data with Teaching Colleges in the Course Exchange Student web application
    • avoid filling out a BOG Fee Waiver application at every Teaching college

    • elect to share information about Teaching College units with the Home College Financial Aid department


tl;dr: Prior to Course Exchange 2.0, students had to manually submit their financial aid paperwork to any teaching colleges in order to get financial aid. This was the only way the Home College financial aid office ensured the student wasn't over/underfunded and was subject to user error. With Course Exchange 2.0, student financial aid is automated for Course Exchange students, reducing the burden on students and Home Colleges, and financial aid award errors are reduced.

For the three main SIS systems (Colleague, Banner, PeopleSoft) Course Exchange can now:

  1. Create a unique student ID used to identify Course Exchange students at the Teaching College.
  2. Pull Financial Aid units from the Teaching College and bubble them back up to Home College.
