Low-Hanging Fruit Changes

This is the second round of short-term, low-hanging fruit changes approved as part of the CCCApply Redesign Project, guided by the CCC Chancellor's Office in collaboration with the CCCApply Redesign Workgroup.  See "Low-Hanging Fruit #1" change request for the first round of changes deployed to the current version of CCCApply in FY18-19.

Business Need

Student-centered design in action.

The Chancellor’s Office, the CCC Technology Center, and the Foundation for California Community Colleges, in collaboration with the community colleges and in partnership with ideas42, are redesigning the CCCApply experience with a student-centered approach in mind.

Chancellor's Office Project Name:  CCCApply Redesign Project

Stakeholders:

Risks & Constraints

Scope and schedule deadlines - must have complete business requirements, reviewed, approved, estimated and prioritized by the final deadline in order to meet the quarterly release schedule for FY18-19.

Change Requirements for Low-Hanging Fruit #2

CCCApply Redesign Project short-term changes approved for the current version of CCCApply.

Must meet the requirements deadline schedule for designated release.

#DescriptionProposed Solution / RequirementsNeed RequirementsRemove the question, "Are you comfortable reading and writing English" from the Needs & Interests page in the Standard application for all users
  1. Remove the "Main Language" section label
  2. Remove the question, "Are you comfortable reading and writing English"
  3. Deprecate the data field: <comfortable_english>
Should this question also be removed from the International Application?

Remove the "Financial Assistance" section and questions from the Needs & Interests page in the Standard application for all users

  1. Remove the "Financial Assistance" section label
  2. Remove the question: "Are you interested in receiving information about money for college?"
  3. Remove the question: "Are you receiving TANF/CalWorks, SSI, or General Assistance?"
  4. Deprecate data fields:
    • Financial Assistance = <financial_assistance>
    • TANF/CalWorks/SSI = <tanf_calworks_ssi>
Should these questions also be removed from the International Application?

Remove the "Athletic Interest" section and questions from the Needs & Interests page in the Standard Application

But Make configurable to allow colleges to "opt-in" to keep the section if they are using the Title IX survey

Remove the "Athletic Interest" section label
Remove additional onscreen instructive text: "Your response does not obligate you in any way. To be eligible to participate on an intercollegiate team, you must be enrolled in at least 12 units."
Remove the question: "Are you interested in participating in a sport while attending college?" including the corresponding radio buttons:

[radio button] "Yes, I am interested in one or more sports, including the possibility of playing on an intercollegiate team."

[radio button] "Yes, I am interested in intramural or club sports, but not in playing on an intercollegiate team."

[radio button] "No, I am not interested in participating in a sport (beyond taking P.E. classes)."
Remove all page and field error validation throughout the question
  • Implement ability for colleges to "opt-in" to keep the section, questions and all existing specifications
    1. Make configurable but set to False by default. So it shows up for nobody in the first phase
  • Ensure data fields contain a null value option for colleges that don't opt-in
  • Phase 1:  Medium (removing it for all users, and doing the work to make it configurable included)

    Phase 2:  Large

(Removing it for all users and building in the opt-in feature would  require a CAP story

Revise the layout and question order on the Residency Page  for improved efficiency
    1. Change (rearrange) the layout of sections/questions on the Residency page for maximum efficiency for using skip logic.
    2. Switch positions of the Special Residency section questions and the Out-Of-State Activities section questions for all users

    The layout should be:

    • California Residency section
    • Out-of-State Activities section
    • Special Residency section
Revise the "Out of State Activities" section and questions to streamline the experience for users Change the format of the 4 "Out-Of-State" questions from four separate Yes/No radio button questions with conditional "Year" field to one question and change the radio buttons to checkboxes and set the default to "No".
  • Maintain all existing conditions and validation that currently appears
  • Maintain the validation for the conditional "Year" menu fields that display if a user selects (checks) one of the checkboxes = True / Yes
  • Maintain the association between the checkbox question/response options and the data field
Move this OOS section up under the "California Stay Begin" questions (switch places with the Special Residency section) and based on a Yes response (checkbox is checked) to any of these four checkbox questions, display the first three "Special Residency" questions, otherwise do not display.
Revise so that the question is worded like this:
"As of <RDD minus 2 years>, have you engaged in any of the following activities? Check each activity that applies."
    •  I paid taxes outside of California
    •  I registered to vote outside of California
    •  I attended a college or university outside of California
I filed for a lawsuit or divorce outside of California
(If the applicant is a minor, display the following prompt-text language):
"As of <RDD minus 2 years>, has your parent or guardian engaged in any of the following activities?"
    •  Taxes were paid outside of California
    •  Registered to vote outside of California
    •  Attended a college or university outside of California
    •  Filed for a lawsuit or divorce outside of California

    Background & Reasoning

    • These four questions are not differentiated in the residency logic
    • They each have equal weight in the algorithm and any Yes response to any one of the four triggers the "Set Class B2" tag
    • A Yes response to any one of the four questions triggers the same integrity flag
    • Combining the four questions into one has been approved by the Advisory committee
Revise the Special Residency section - Implement skip logic to only display the Special Residency questions IF the applicant responds YES to one or more Out-of-State Activities.
    1. Hide the Spa
    2. Move the Special Residency section down below the "Out of State Activities" section
    3. Implement skip logic to hide unless...
    • IF applicant answers YES to the new OOS Activity question, THEN, display the three Special Residency questions shown below, otherwise do not display those questions and implement "Null" value
      • Seasonal Agricultural Worker
      • F/T Public School Employee
      • F/T State University Employee

NOTE: No change to the Homeless Youth or Foster Youth questions. These would ALWAYS display on screen as currently implemented.

    1. Combine all four questions into One Y/N radio button question
    2. Move this revised question/section up, directly below the California Stay Begin question.

Change Requirements for Low-Hanging Fruit #2

CCCApply Redesign Project short-term changes approved for the current version of CCCApply.

Must meet the requirements deadline schedule for designated release.

    #DescriptionProposed Solution / RequirementsNeed Requirements

Remove the question, "Are you comfortable reading and writing English?" from the Needs & Interests page in the Standard application for all users
    1. Remove the "Main Language" section label
    2. Remove the question, "Are you comfortable reading and writing English?"
    3. Remove all UI and back-end data field conditions and validations included in the form element.
Should this question also be removed from the International Application?

Remove the "Financial Assistance" section and both questions in that section from the Needs & Interests page in the Standard application for all users.

Remove the "Are you interested in receiving information about money for college? from the N&I page in the standard App.

    1. Remove the "Financial Assistance" section label
    2. Remove the question: "Are you interested in receiving information about money for college?
    3. Remove all UI and back-end data field conditions and validations included in the form element = (financial_assistance).
Should these questions also be removed from the International Application?

Remove the "Are you receiving TANF/CalWorks, SSI, or General?"  questions from the Needs & Interests page in the Standard application for all users
    1. Remove the question: "Are you receiving TANF/CalWorks, SSI, or General Assistance?"
    2. Remove all UI and back-end data field conditions and validations included in the form element = (tanf_calworks_ssi)
Should these questions also be removed from the International Application?

Reconfigure the Athletic Interest section to be an "opt-in" form element that can be removed from the Needs & Interests page in Standard Application, or can remain/display for colleges that opt-in to use it for Title IX purposes.

    1. Reconfigure the "Athletic Interest" section, label, question, data field(s) - and all field related data conditions and validations - to an "opt-in" form element - which can be displayed and used, or removed from the Needs & Interests page in the Standard Application

    2. Once it's redesigned as a flexible form section - remove all parts of the section from display on the Needs & Interests page in the Standard Application;

    3. Remove the additional text: "Your response does not obligate you in any way. To be eligible to participate on an intercollegiate team, you must be enrolled in at least 12 units."

    4. Remove the question: "Are you interested in participating in a sport while attending college?" including the corresponding radio buttons:

[radio button] "No, I am not interested in participating in a sport (beyond taking P.E. classes)."

    5. Remove all page and field error validation for both data fields: athletic_intercollegiate, athletic_intramural
    6. Ensure both data field formats contain a null value option for colleges that don't opt-in

    In-Scope FY18-19:  Medium size effort to remove from App as a configurable data form element for users;

Out-of-Scope FY18-19:  Large-sized effort - includes all of the work listed above AND the work to add an opt-in/out with a toggle in the Administrator. Requires CAP UI/UX engineer.

Revise the layout of the Residency Page for improved efficiency
    1. Change/rearrange the layout of the sections/questions on the Residency page (to remove or hide questions that don't need to be displayed unless answers to previous residency questions warrant them).

    2. Switch positions of the Special Residency section/questions and the Out-Of-State Activities section questions  (under the California Residency questions).

    The layout should be:

    1. California Resident for 2 years - ALWAYS DISPLAY - REQUIRED
      1. Date Stay in California Began (Optional, based on previous question)
      2. Did Not Arrive Yet (Optional, based on previous question)

    2. Out-of-State Activities section - ALWAYS DISPLAY - REQUIRED*
      1. Revised format for this section (see request below)
        1. Year out-of-state activity occurred (Optional - based on whether user has an out-of-state activity)

    3. Special Residency section:- ALWAYS DISPLAY*
      1. State College Employee (Optional, based on whether the user has an out-of-state activity)
      2. Public School Employee (Optional, based on whether the user has an out-of-state activity)
      3. Seasonal Agricultural Worker (Optional, based on whether the user has an out-of-state activity)
      4. Homeless Youth - Always display
      5. Foster Youth - Always display

Revise the "Out of State Activities" questions.

Change the Yes/No radio button format to checkboxes under a single question prompt. to streamline the experience for users

Revise the "Out-of-State Activities" section. Combine the four separate Yes/No radio button questions into one question with the four previous questions as the response options. This way the user doesn't HAVE to answer these questions unless they pertain to them.

    Revise the question as follows:

    1. Change the format of the four Yes/No radio button questions to optional checkbox format.
    2. Implement one new, consolidated question to replace the original four questions. The new question text should read like this:
"As of <RDD minus 2 years>, have you engaged in any of the following activities? Check each activity that applies."
    3. Implement four, optional checkbox response options. The response options text should read like these:

      1. "As of <RDD minus 2 years>, have you engaged in any of the following activities? Check each activity that applies."
      •  I paid taxes outside of California
      •  I registered to vote outside of California
      •  I attended a college or university outside of California
      •  I filed for a lawsuit or divorce outside of California

    4. Each checkbox option is optional and default set to No.
    5. Each response option should align to its original question data field.
    6. If a response option is selected, display the corresponding "Year" text input field.
    7. All existing conditions and validation that currently exists for these four fields - should not change
    8. All existing validation for the corresponding "Year" fields - should not change

Move this OOS section up under the "California Stay Begin" questions (switch places with the Special Residency section) and based on a Yes response (checkbox is checked) to any of these four checkbox questions, display the first three "Special Residency" questions, otherwise do not display.

Revise the Special Residency section - Implement skip logic to only display the Special Residency questions IF the applicant responds YES to one or more Out-of-State Activities.
    1. Move the Special Residency section down below the "Out of State Activities" section

    Pop-Up Help:

The "Have you ever been in Court Ordered Foster Care?" question link opens the following pop-up help:

You have been in foster care if you were removed from your biological family through an order by a court, which can include placement with foster parents, in a group home, or with relatives/extended family members. If you were living with relatives you must have been placed through the foster care system by an order of the court. Foster Care includes, but is not limited to, placement in out-of-home care under the supervision of the Juvenile Probation Department. As long as you were placed within the foster care system by order of a court, you were in foster care. Having a legal guardian does not necessarily mean that you have been in foster care. If you need assistance with determining whether you were in foster care, you can contact the California Foster Care Ombudsman's office at (877) 846-1602 or fosteryouthhelp@dss.ca.gov.

The "When did you exit foster care?" link renders a help pop-up which reads:

    • Aged Out/Emancipated

You 'aged out/emancipated' from foster care if you exited foster care on or after your 18th birthday. If you need assistance with determining when you exited foster care, you can contact the California Foster Care Ombudsman's office at (877) 846-1602 or fosteryouthhelp@dss.ca.gov.

    • Exited the foster care system before my 18th birthday

You 'exited the foster care system before your 18th birthday' if you were returned to the custody of your biological parents, entered a legal guardianship (with relatives or nonrelatives) or were legally adopted before your 18th birthday. If you need assistance with determining when you exited foster care, you can contact the California Foster Care Ombudsman's office at (877) 846-1602 or fosteryouthhelp@dss.ca.gov.

    • Not Sure

If you need assistance with determining when you exited foster care, you can contact the California Foster Care Ombudsman's office at (877) 846-1602 or fosteryouthhelp@dss.ca.gov.

    Levels of College Sports

California Community Colleges generally offer the opportunity to participate in sports at various levels, though not all colleges offer sports at all levels.

At the highest level, intercollegiate teams (also called ‘varsity teams’) represent the college in competition against other colleges, typically in conferences under the authority of the California Community Colleges Athletic Association (CCCAA). For more about this level of college sports, see the website for the CCCAA (www.cccaasports.org{hyperlink opens in another tab/window}) and the college’s website. {Replace ‘the college’s website’ with ‘the <CollegeName> website (<URL/hyperlink>)’ if feasible}.

Intramural and club sports allow students to participate at a less rigorous level than the intercollegiate teams and/or to play a sport for which the college does not field an intercollegiate team. In intramural sports, several teams from the college play each other in college-sponsored competitions. In club sports, the clubs are sanctioned by the college but make or find their own opportunities for competition.
