When students submit an application to a California Community College using one of the following applications, that data is stored in "the cloud":

  • CCCApply Standard Application
  • CCCApply International Application
  • BOB Fee Waiver Application

The cloud is simply a secure computer that is not on your college premises.

You access your college's student data in the cloud via:

  • an internet connection
  • a previously-configured Shibboleth installation and IdP
  • the Download Client

What is the Download Client and How Does It Work?

In order to get submitted student application data to your college's student information system (SIS), you must download it from the the cloud to a computer at your college and then import it into your SIS. The Download Client is the tool that you use to download the data for student applications to your college. The Download Client includes several options for defining the data format, which application fields you want to download, etc.

High-Level Overview of Installing and Running the CCCApply Download Client

After implementing the CCCApply applications at your college, you will install the Download Client.

Note: If you already use the Download Client, and there is a new CCCApply application release, you will need to install an updated .jar file in order to download any newly-added application fields.

Refer to the following high-level steps:

  1. Install the Download Client following the steps in the Download Client Guide located here: CCCApply Download Client Guide
    1. The section that applies to installation is entitled "Unzipping, Installing, and Configuring the Download Client."
    2. The necessary Download Client application files are comprised of the transfer-client.jar file, an application-context.xml file, and a ccctransfer.properties file. All of these files are available on the same page as the CCCApply Download Client guide here: CCCApply Download Client Guide and Files.
  2. Follow the same steps in the "Unzipping, Installing, and Configuring the Download Client" section to configure your job and format XML files. The job XML file is where you define the environment you will be downloading from. You will want to do this for Pilot first, to make sure the downloads are working correctly.
  3. Run the download against your Pilot environment from a command prompt (Windows and Unix options are offered in the guide).
  4. Check the downloaded data against the actual application(s) submitted and what your SIS needs, to check you are downloading all the fields that you need.
  5. Run the download against your Production environment and import the downloaded data into your SIS.
