Managing users for the CCCApply Administrator 2.0 and the CCC Report Center is a privilege granted only to approved CCCApply college and district staff and administrators. This page is applicable for college and district users who have been granted the authority to manage other users for their college or district. 


User Types

The majority of all users authorized to access the CCCApply Administrator 2.0 and CCC Report Center will be restricted to the Basic User role.  

Colleges determine which of their faculty and staff should have basic user access, and which staff are approved to have the additional privilege of managing users for their college or district. Both of these roles are set up by a primary user from your college or district that is setup by a support engineer at the CCC Technology Center.  

As a best practice and for security purposes, it is recommended that colleges keep the number of staff who are permitted to add, edit, and delete your CCCApply data and settings to a "need only" basis.

There are three types of users (roles) available in the User Manager module in the System Administrator within the new, central CCC Administrator. Two of these user types can be assigned to an approved college or district staff member for each individual application accessing from the CCC Administrator:

  • Basic User
  • CCC Admin User
  • Superuser (Assigned to CCC Tech Center support staff only)

The Basic User

All users authorized to access CCCApply data settings in the CCCApply Administrator 2.0 will be assigned the basic user role in their user account.

The basic user role allows users to launch (access) approved applications and administrator tools specified in their user account.  Permission to access applications is granted by authorized separately by a primary user with the same or greater authorizations (scope) as the user being created.  Within each authorized application, the basic user is allowed to create, revise, update, and delete data (permissions) for the college or district identified by their MIS code.

The CCCAdmin User

College and district faculty and staff who are authorized to manage users for your college or district will be assigned an additional "CCCAdmin" role to each basic user role already assigned. Authorized "CCCAdmin" users will have two roles for each application they are authorized to access.  

The approved college and district staff should be permitted access to the User Manager module in the System Administrator within the new, central CCC Administrator. 


Example: The following example illustrates the roles and applications that should be assigned to Jane Doe, a college Admissions & Records staff member at ABC College.  She is being authorized to access the CCCApply Standard Application, the CC Promise Grant Application, and the CCC Report Center, and she is authorized to manage other users for her college for the Standard Application and the Report Center.

College & District Users

College User
A college user is authorized to manage one or more applications for a single college. Their College MIS code should be selected when setting up their user account. College MIS codes end in a number other than zero. The college MIS code tells the system to only display the data available for that single college in module summary tables and in the college selector menu bar.


District User
A district user is authorized to manage one or more applications for all the colleges in their district. Their District MIS code should be selected when setting up their user account. The district MIS code ends in zero and tells the system to display all the colleges within that district in module summary tables and in the college selector menu bar.




Accessing the CCC Administrator 1.0

Use the following steps to log in to the CCC Administrator.

Enter your user name and password in the
Username and Password fields and click Login to display the CCC Administrator home page.



From the CCC Administrator home page click the Applications drop-down list to see options for system administration or for administering the applications you are authorized to access.




Note: The System Administrator application only displays for authorized users who have been assigned a SuperUser or CCCAdmin user role. 

User Manager

The User Manager appears in a sub-menu of the System Administrator application from the "Applications" dropdown.  The User Manager is to add or update users for your district or college within the scope of .


User Manager Summary Page

  1. A user authorized to add users navigates to this page by clicking on the User Manager menu.
  2. An authorized User can add, modify or, depending on the scope of their user permissions, delete a user on this page based on the application(s) for which they are authorized.


The User Manager Summary page displays the following columns:

Adding Users

Use the following steps to create an account for a new user for your application.

The user account will define the full scope of the new person’s MIS code, application(s) access, CRUD permissions, and other permissions and authorities based on their assigned role(s).

  1. From the CCC Administrator home page, click Applications -> System Administrator -> User Manager to display the User Manager screen.
  2. Click Add User to display the Add User dialog box.



  1. Enter or select values in the text fields for the user role:
    1. Enter the user’s EPPN in the UserId (Eppn) field.
    2. Select the MIS code for the user’s college (default display will be for your district’s colleges and/or individual college).
    3. Select the check box(es) for the user’s role or roles from the Roles field group. Use the table below as a guide for the different roles:

This role is for college administrators who manage CCCApply Promise Grant (formerly, BOG Fee Waiver) users. A user account with this role can grant and manage the following user roles:

    • CCCBOGUser - grants basic user access to CCCApply Standard App
    • CCCApplyBOGAdmin - grants account provisioning privileges for CCCApply Promise Grant (Formerly BOG Fee Waiver) App

This role is for college administrators who manage CCCApply International App users. This role can only manage the CCCIntlUser role CCCApply International App. A user account with this role can grant and manage the following user roles:

    • CCCStdUser - grants basic user access to CCCApply Standard App
    • CCCApplyIntlAdmin - grants account provisioning privileges for CCCApply International App

This role is for college administrators who manage Report Center users. A user account with this role can grant and manage the following roles:

Notes:

  • The ability to manage users for any application requires the corresponding Admin role(s) listed above.  A user cannot manage users for an application without the proper role.
  • A user account configured to have provisioning admin rights (can access User Manager)  for an application will, by default, have basic admin rights, as well.
  • When removing provisioning admin rights on an account, the corresponding role for basic admin rights is removed, as well.

  1. Click Save to display the newly-added user in the User Manager screen. Your newly-added user will display at the end of the list of users in the User Manager screen.


Editing a User Role

Click the Edit icon for any user row to display that user’s assigned roles. You can edit and save the user’s role settings.


Disabling User Account

A user account can only be deleted by Support.  However, a local college or district admin can disable access to any applications by removing all roles affiliated with an account.  

Deleting a User


To delete a user, please contact Support.  Once an account has been deleted by support, the user will be removed from the User Manager screen and they will not have access privileges to the applications configured in the CCC Administrator 1.0.

The inability to delete users as a college or district admin is temporary behavior. We are working on enhancements to the user management system that will enable delete functionality and avoid collisions with user management for other Core Administrator applications (other than the CCCApply suite of applications and tools).

There is a strong possibility that the behavior you are seeing on Pilot will be present when we go live on 9/28. If that is the case, we will work to deliver the enhancements as soon as possible.



User Manager List


The User Manager page provides a view into users who are configured with a CCC Administrator account.  The list can be sorted by clicking on the column header to easily navigate through the list. Multiple clicks on the header alternates between descending and ascending order.  The User Manager page displays all users affiliated to the same MIS code as the provisioning admin. However, the provisioning admin can only grant and manage user access to specific applications, dependent on provisioning administrative rights.
