The following one-time update process pertains to all existing Data Warehouse Report Server (DWRS) users prior to CCC Data Warehouse v.2.2.0 release (February 2023).

Overview of Changes

Two significant updates have been made to the Data Warehouse Report Server tool since the beginning of 2023, including a new secure identity management system (v.2.2.0) and new self-serve password reset functionality for direct access user accounts (v.2.3.0). These changes result in a new URL and sign-in process for college/district accounts using SSO, and a one-time account update for non-SSO users, such as Chancellor’s Office, CVC/OEI and other external user accounts.

Below are two support processes with instructions for users based on user type. College and district users (SSO users) will now access the DWRS via a custom URL configured to their MIS code, allowing single sign-on authentication through their institution’s IdP. All other users (non-SSO) will be re-directed to a new URL and will undergo a one-time re-authentication process, similar to the First-time Log In Process used when they first created their accounts.

New Process for College/District Users

For college/district users the security updates implemented in Release v.2.20 have enabled single sign-on to the DWRS through your institution’s IdP. This means that college and district users will no longer “sign in” or verify your credentials using two-factor (2FA) authentication.Once you have logged in to your internal system, you simply go to the URL configured for your institution and you’re in.

New URL: Each college/district now has a unique URL to access the Data Warehouse Report Server. These URLs are configured to the institution’s MIS code and IdP.

Find your new Data Warehouse Report Server URLs and bookmark your new link.

Use Institution Credentials: This change enables authorized users using their existing institution’s IdP credentials (email, password, etc.). However, the email address in the new DWRS system must match the one used to create the account initially. If that email address changes at the college end, please contact CCCTC Support to update this information.

NOTE: Your email address in your college/district IdP must match the address in your DWRS user account. Please direct any issues or errors encountered to CCCTC Support.

Your DWRS account needs to recognize your IdP email address. If your email address in your existing DWRS user account has changed or changes in the future, you must contact CCCTC Support to have them manually update it in our system. Unlike the new self-serve password reset feature, there is no way to update your email address without contacting CCCTC Support.

The Data Warehouse Report Server User Guide has been updated with changes and new functionality, including the new Password Reset Process.


Update Process for Existing User Accounts (non-SSO)

For all external users (non-SSO) such as Chancellor’s Office or other external stakeholders, the security updates implemented in Release v.2.2.0 require a one-time update for existing accounts.

Below is the process at a glance:

  • Your new DWRS URL: https://dw-reports.ccctechcenter.org/jasperserver-pro/login.html

  • Your email address must be valid and match the email address in our new system

  • Your password must be reset using the new self-serve Password Reset process

  • You must repeat the steps from the First-time Log In process to verify authentication

Instructions

  1. Navigate to the new URL for the DWRS: https://dw-reports.ccctechcenter.org/jasperserver-pro/login.html

  2. From the Sign In page, click the Forgot Password? link.

  3. Enter the email address that was used to create your existing account.

  4. A success message should appear on the sign in page.

  5. Retrieve the confirmation email message sent to your email Inbox. Follow the instructions in the email by clicking on the embedded link to verify your address.

  6. On the Change/Update your password screen, enter a new password and repeat the password to confirm. Click Continue.

  7. Back on the Sign In page, enter your valid email address and new password in the input boxes. Click Submit to continue.

Note: If you cannot remember the email address used in your existing DWRS account, or if the email address has changed, contact CCCTC Support to update the email address in your account.

The remaining steps in the process are the same as the First-Time User Log In Process that you used initially to create your DWRS account. Ensure you have your Authenticator app available (i.e., Google Authenticator, Chrome Authenticator, etc.) and use the DWRS code that appears above any other instance associated with the DWRS.

  1. When prompted, scan the QR code image that appears on the screen.

  2. As the authenticator scans the barcode (QR Code), a six-digit verification code will appear/register in your authenticator app. Copy the code.

  3. Paste or type the six-digit code in the input field, then click “Submit” to go to the next page.

This is a one-time process to re-authenticate your new account password. Following this update, continue to use the existing Verified User Log In Process for DWRS access.
