Regarding the Two Additional Data Fields/Questions Proposed
During a recent meeting with the CCCApply Redesign Workgroup - a working group led by Vice Chancellor Omid P. to address both AB705 and AB3101 - we discussed doing everything we can to accommodate getting changes in the September release in addition to a significant number of other priorities; however, unfortunately it was with the understanding that we would be removing questions or making some text changes to the existing set of MM questions.

Suggestions

I'm hoping we can have a meeting (sorry about the rush) to clarify these on the phone - but I'm going to list out the main questions and some observations in advance to perhaps help save time in the event we do or do not get to meet.
First, regarding the two proposed questions...
All students complete the application (provide responses) based on their status based on the Term they are applying for. In other words - if they are applying for a Fall term, for example, with a Term Start Date of September 1, they will be answering the questions based on their status at that time. So high school seniors completing the application in April (for example) will be answering questions from the perspective of what they will be doing and what they've completed on September 1. 

So given that reality, I see two scenarios for the user you are hoping to address in the new questions (12th grader):
Scenario #1: User is a 12th Grader Now - applying for a future term - and will be a high school graduate on the start date of that term.
Here's what we will find out based on their responses:
  • Their Enrollment status will be:  first time student in college after completing high school
  • Their HS Ed Level will be: graduated from a US school or completed an equivalency exam
  • High School Completion date: the required HS comp date indicates the user's graduation date, which will be between the time they are completing the application and the start of the Term
  • We won't know if they completed 11th grade because this question doesn't appear unless they are "enrolled in hs or lower grade" and college at the same time.
In this scenario- the two new questions don't help you because they will have already graduated and are no longer "enrolled in" in 12th grade at the time they are taking the math course.

Scenario #2: User is a 12th Grader now - and is applying for a term that begins before they graduate (i.e., they will still be a 12th grader at the start of the term  (basically this is the enrollment status of: "enrolling in high school (or lower grade) and college at the same time)
Here's what they have to select, based on the Term they are applying for:
  • Their Enrollment status will be:  "will be enrolling in high school (or lower grade) and college at the same time."
  • Their HS Ed Level will be:  "Attending high school (or lower grade) and college at the same time." - This response defaults to this value based on the Enrollment status.  If their incoming enrollment status puts them in HS or lower grade, then their HS Ed Level has to match.
  • Because of these two statuses (they are in high school or lower grade) - the High School Completion date question does not display - so we don't know when their "projected" completion date is at all.
  • We will know if they completed 11th grade based on their response to "Completed 11th grade".  Yes or no.
In this scenario - the student will get the questions 
 Unfortunately the application does not provide a way to know if the user is in 12th grade specifically at the time of application.  The options for the user are this:
1) They can tell us that they are still in high school or lower grade 

Change Request Breakdown

based on 7.24.18 document

  1. Revise "Condition 2" of the conditional display logic to remove the "High School Completion Date is < 10 years from the RDD (high school completion/graduation is less than 10 years prior to the day before the first day of the selected Term)" from the three-part logic: 
    1. TO:  Display "High School Transcript Information" section and display “Grade Point Average” question, but DO NOT display “Have you completed the 11th grade?” question IF:
      1. User has a "High School Education Level is one of the following:
        • Received high school diploma from US high school
        • Passed a high school equivalency test
        • Received a Certificate of California High School Proficiency
      2. AND User's High School country = United States 
    2. This means that the MM section will appear for EVERY applicant - regardless of age - that has graduated or equivalent from a US high school - IS THIS WHAT YOU WANT?

  2. Add "GED" to College Enrollment Status (NOT APPROVED at this time)
    NOTE: In 2016, the CCCApply steering committee proposed, debated, and approved removal of the words "GED" from the  
  3. Question #2:  Highest English Course Taken
    1. Update the question text for "Highest English Course" from: ..."you took" in high school...
      1. TO:  ""What was the highest English course you completed in high school?"
    2. Update the "error validation/client-message language" from "Required response if displayed on screen, else error message, "You must select the highest English course you took in high school or choose "None of the above / Don't Know" from the response options."
      1. TO: Required response if displayed on screen, else error message, "You must select the highest English course you completed in high school or choose "None of the above / Don't Know" from the response options."
  4. Question #4:  Highest Math Course Taken
    1. Update the data field name from: highest_math_course_taken TO: <highest_math_completed> (NOT RECOMMENDED)
    2. Update the question label for "Highest Math Course Taken" TO: Highest Math Course Completed
    3. Update the question text from:
      1. TO: "What was the highest math course you completed in high school? You may have passed or not passed the course, but you remained enrolled until the end.
    4. ADD a pop-up HELP text box providing help information for this question:  

      Values/Response Options: Here add a pop-up Help" functionality, similar to any other places in the application. Using a hyperlink within the question text, applicant could click on the link to display a pop-up box of Help information.  Mallory will supply the information for the pop up Help box.

    5. Page error validation:  Required response, else error message, "You must select the highest math course you completed in high school."
  5. Question #5:  Highest Math Course Taken Grade
    1. Update the data field name from: highest_math_taken_grade TO: <highest_math_completed_grade> (NOT RECOMMENDED)
    2. Update the page error validation: Required response, else error message, "You must select the grade you received for the highest math class completed in high school."
  6. Add a new data field/question called, "12th Grade Math Course Enrolled"  (PLEASE ADD A SECTION HERE FOR STUDENTS WHO ARE CURRENTLY ENROLLED IN THE 12TH GRADE)
    1. Only display new question IF - in addition to the other conditional logic that must be met for the student to answer the HSTI section" ALSO IF:
      1. hs_edu_level =3 "Received a high school diploma" AND high school completion date is prior to the start date of the term that they are applying for.


        NEW Question 8. 12th Grade Math Course Enrolled

        Data Field: 12_grade_math_enrolled

        Condition: Only display and require a response if currently enrolled in 12th grade.

        Question Text: Please indicate the math course you are currently taking in your senior year of high school.

High School Transcript Information Section


General Requirements

The technical specifications below are for OPTIONAL adoption and implementation of the High School Transcript Information section which will appear on the Education page. Colleges must opt-in to participate. If a college chooses to implement, the display of questions and logic must be turned on manually by the CCCApply development team.

Heading:  High School Transcript Information

Onscreen Text: "College staff use this information to provide guidance. Your responses will not affect your admission to college."

Conditions for High School Transcript Information Section

The "High School Transcript Information" section will appear between the Last High School Attended and the College Education Level sections IF either of the conditions below are met, otherwise it does not display.

Condition 1:

Display "High School Transcript Information" section and "Have you completed the 11th grade?" question IF:

High School Education Level = "Will be enrolled in high school (or lower grade) and college at the same time"

AND

High school Country = United States                       

Condition 2:

Display "High School Transcript Information" section and display “Grade Point Average” question, but DO NOT display “Have you completed the 11th grade?” question IF:

High School Education Level is one of the following:

  • Received high school diploma from US high school
  • Passed a high school equivalency test
  • Received a Certificate of California High School Proficiency;

AND

High School Completion Date is < 10 years from the RDD (high school completion/graduation is less than 10 years prior to the day before the first day of the selected Term).

AND

High School Country = United States

Cumulative GPA: This is the running total of your GPA that includes all of your high school coursework.


Unweighted GPA: Typically, transcripts will show both a weighted and unweighted GPA. The unweighted GPA has a maximum value of 4.0 and does not assign extra points or “weight” to classes that are more difficult such as AP or Honors classes.
