 Where do I find a list of all the approved change requests being implemented in the 2016 Annual Update on March 31, 2016?

 Where can I find a list of all the new data fields being added to the OpenCCCApply Applications in the 2016 Annual Update release?

 How do we add new data fields to our existing download file? Do we have to update the Download Client Jar File first?

Answer: Any new fields added in a release will only be available if you update your Download client files following the instructions in the Download Client User Guide, which includes updating to the latest Download Client Jar File and, as of March 10, 2016, updating to the version Java 7. See OpenCCC Apply System Requirements for more details.

 If a new data field is added to the OpenCCC Account, such as the new Preferred Name fields, do I have to update all three Download XML files separately?
Answer: Yes. The data fields within the OpenCCC Account system are separate from the Standard, BOG and International Applications, but they are included in each download file via the Download Format XML for each application. In other words, each of your Application Download files will include a copy of the data fields that appear in the OpenCCC Account in order to identify the student's personal information and CCCID with each new submitted application. For each new data field added to the OpenCCC Account, first update the Download Client Jar File, then modify each Application Download Format XML file to include the new data field(s).
 Where can I find a list of all the Logic changes being made to the Standard Application in the 2016 Annual Update release?

 How do I test the changes to the download file after we update the Jar file and modify our Download File XML?

Answer: After you update to the latest version of the Download Client Jar File and modify each application Download File XML with new or changed data fields, you should first test the changes in the PILOT environment. Modify your Download Job File XML to point to the Pilot download servers. Each application has a PILOT download URL attribute:

NOTE: These URLs should only be used by your IT staff for setting up, updating and/or testing your automated download files in the PILOT environment.

 How do I get to my college branded version of the Standard Application on the PILOT site?

Answer: Each college has a unique set of college-branded URLs to the PILOT applications. Modify the URLs below by replacing the "XXX" at the end wth your college MIS code, then click the URL to access your PILOT applications.

We encourage all Admissions and IT staff to test these URLs and submit test applications to the PILOT environment in order to become familar wth the applications and to better understand and test the changes being implemented in the 2016 Annual Update release on March 31. The changes are now available on PILOT to test.

 How do I get to the PILOT Administrator?
Answer: Each college has a unique URL to the PILOT Administrator. It’s based on your college/district IdP configuration. The PILOT Administrator is used for testing settings configurations and adding new data fields to your applications.

Since your college is already setup on the Standard Application, ask your Admissions or IT Director to provide you with a copy of your college PILOT Administrator URL. The Tech Center does not provide these URLs, they are unique to your college network configuration. Login with your User Account which authenticates you to access your college settings and data (MIS code)

 How do I get to the PILOT Report Center?
Answer: Each college has a unique URL to the PILOT Report Center. It’s based on your college/district IdP configuration. The PILOT Report Center is used for looking up submitted applications, creating ad hoc reports, running Public reports, and doing research on student data.

NOTE: The PILOT Report Center and Administrator have different URLs. The Report Center is not contained within the Administrator.

Since your college is already setup on the Standard Application, ask your Admissions or IT Director to provide you with a copy of your college PILOT Report Center URL.  Where can I find a list of all the bug fixes being made in the 2016 Annual Update release on March 31, 2016?

 Where do I submit a request for technical support?

Answer: Colleges should submit requests for technical support in the new CCC College Support Site: www.ccctechnology.info. All support issues, access incidents, change requests, questions, ideas, and/or request for work-arounds should be posted on the new community-based support site, which is monitored by CCC Tech Center support reps Monday - Friday, 7:00AM - 4:00PM PST. Issues that require Tier 2 support services will be moved to the CCCApply Zendesk Issue Tracking System and support will work directly with college staff to resolve issues.

NOTE: To post a request for support, visit www.ccctechnology.info and "Register" for an account today. Once registered, navigate to the CCCApply System Alerts category and click "Follow" from the category home page, which provides RSS feed alerts directly to your email account. Please ensure that you configure your email Inbox to accept emails from Get Satisfaction and CCCTechnology.info.

 Where do I submit a change request to the CCCApply Standard Application?
Answer: Change requests to the OpenCCCApply applications can be submitted via the CCC College Support Site: www.ccctechnology.info. Change requests should be tagged as "Ideas" and include the words "Change Request" in the title of the post. All change requests will be reviewed and triaged before being submitted to the CCCApply Steering Committee for approval. Triage stage includes preliminary review by the Product Manager, who oversees the change management process to ensure that requests meet the criteria for Steering Committee review. Criteria includes: 1) Has this request been submitted in the past and declined or deferred by the committee? 2) Does the change request benefit all colleges across the system or represent a state or federal compliance mandate? 3) Can the request be resolved via a known work-around or supplemental question or rule while awaiting Steering approval?  Where do I submit a change request to the BOG Application?
Answer: BOG Application change requests should be submitted in the BOG Application category in the CCC College Support Site: www.ccctechnology.info. See "Where do I submit a change request to the CCCApply Standard Application?" response above for additional details on the criteria required for the Steering Committee to review a systemwide change to the OpenCCCApply applications.
 Where do I submit a change request to the International Application?

 Where can I find a detailed breakdown of the Residency Algorithm?

Answer: The CCCApply Residency Algorithm is embedded residency logic within the CCCApply Standard Application (only). There is no residency logic in the BOG Application or the International Application.

General information about the preliminary residency status calculation, the four logic areas determination, and step by step area logic criteria, is presented in Appendix A: Submission Calculation Logic & Residency Algorithm (p. 186) of the CCCApply Data Dictionary v.2016.1.

The CCCApply preliminary residency calculation is based upon four areas or categories of evaluation: citizenship, stay and intent, military exemptions, and other exemptions. The student is evaluated in each area separately. The area classifications (referred to as ‘classes’) are then processed to make the overall preliminary residency calculation.

Area A = Citizenship

Area A indicates whether the applicant is a U.S. Citizen or an eligible non‐U.S. Citizen. An applicant who indicates either U.S. citizenship or a status of Permanent Resident, Temporary Resident/Amnesty, or Refugee/Asylee (along with an unexpired alien registration number) is classified as A1. An applicant indicating an unexpired visa type that is eligible for residency is classified as A2. An applicant not qualifying either as A1 or A2 is classified as A0.


Area B = Stay & Intent

Area B indicates whether the applicant meets the minimum requirements for duration of stay in California and activities consistent with residency in California. An applicant who meets requirements for residency with no contrary data is classified as B1. An applicant who meets requirements for residency but has some data that needs to be explained or documented is classified as B2. An applicant who does not meet requirements for residency is classified as B0


Area C = Military Exemption

Area C indicates whether the applicant is either an eligible active or discharged U.S. Military person or a dependent of such. • C1 = Active military persons and their dependents • C2 = Recently discharged military persons • C0 = All others that are not C1 or C2


Area D =  Other Exemptions

Area D indicates whether the applicant qualifies for a special residency exemption. A state college or university employee or dependent, a public school employee, or an eligible seasonal agricultural worker or dependent (not precluded by INS) is classified as D1. All others are classified as D0.


 Where can I find a list of all the VISA Types in the Standard and International Applications?

 Where can I find a list of all the Integrity Flags in the Standard Application?

 Where do I find a list of all the data fields in the Standard Application?

The same list of data fields, which also includes a map of whether the fields appear in the Rules engine (Administrator) and in the CCC Report Center for reporting, can be found in the Download Client User Guide.
 Where do I find a list of all the data fields in the BOG Application?

 Where do I find a list of all the data fields in the new International Application?

 Where should I report a bug identified in the new International Application?
Answer: Bugs and other problems identified in the new International Application should be reported in a post in the CCC College Support Site: www.ccctechnology.info A CCC Tech Center support representative is monitoring the site Monday - Friday, 7:00AM - 4:00PM (except recognized holidays). In order to expedite a fix to a reported bug or incident, it is recommended that the Reporter supply the following information in order to troubleshoot the issue: Browser / OS system information used at the time the issue is identified and a screenshot (very helpful) of the specific placement and error message received at the time the issue is identified.
 Who do I contact to schedule Report Center Training for my college staff?
Answer: Report Center training is available for CCC College staff who have implemented the OpenCCCApply Standard Application, BOG, or International Application. To schedule training, please contact Patty Donohue, Product Manager, pdonohue@ccctechcenter.org.
 What is the CCC Title IX Survey? Isn't it already part of our Standard Application?

Answer: The CCC Title IX Survey is a separate college-branded survey - with a unique URL - that colleges can use to capture athletic interest from incoming or returning students. The CCC Title IX Survey is set up by the CCC Tech Center upon request. The survey includes a monthly report which is sent to one or more designated Administrators via email. The Administrators must be identified at the time your survey is configured by the Tech Center. The reporting feature can also be accessed at any time by the designated Administrator(s). NOTE: The Title IX Survey questions and data fields are NOT part of the Standard Application download file; however, there are ways that the college can incorporate the survey as part of the application process (rules, supplemental questions).  Who do I contact to set up my college branded Title IX survey?
Answer: The CCC Technology Center can help you implement a college-branded Title IX survey application, which can be used to capture athletics interest from your incoming or returning students.  Where can I find a list of all the School CDS and CEEB Codes?

Answer: The CCC Technology Center manages the crosswalk between the California Department of Education (CDS) high schools and colleges and the College Board (CEEB) list of colleges codes and information. A complete list of high schools and colleges, including their corresponding CDS and CEEB codes, can be located in the Education Section of the CCCApply Standard Application Data Dictionary v.2016.1.

To download a list of schools, colleges, CDS codes, or CEEB codes, please see the standard Public reports available in the CCC Report Center. From the View > Repository menu, expand the Public folder to see a list of sub-folders containing a Schools folder. Public reports and views have been created for colleges to use as-is, or can be customized for your needs.  Where do I submit a change to a High School or College CDS or CEEB code?
Answer: If you need to submit a change to a CDS High School or College code, name or address, please contact the California Department of Education directly. Likewise, if you need to update a College Board (CEEB) code, name or address, please contact the College Board directly.
