DAY 1:  CCCApply - Focused on Success: Mapping the Road Ahead

Featuring a range of topics and speakers covering the year in review and the roadmap ahead. Break-out sessions are offered in three tracks including topics for new and experienced Admissions & Records staff; IT Best Practices & Report Center Training; and a track dedicated to looking at the roadmap for 2017-2019 (and beyond, in some sessions) where we can explore new projects and statewide initiatives, including MyPath, the Student Services Portal, and Project Glue.  Geared towards California Community Colleges.

New CCC Administrator 2.0 Demo

Join us for a sneak peek of the new CCC Administrator 2.0 tool - under development now to serve as the new "master administrator tool" for all new web applications currently under-development at the Tech Center.

The new Admin 2.0 will leverage commonly shared data elements, such as Terms, Majors, and User accounts, to streamline the configuration process across CCCApply, Course Exchange, Common Assessment, and more.

This preview will focus on two upgraded components of the existing CCCApply Administrator: the Supplemental Questions module and the Majors module. Designed to simplify the creation of supplemental questions and data fields, Admissions staff can now create new questions quickly and easily with a new user-friendly drag and drop interface and standard WYSWIG editor.

The new Majors module includes functionality to align programs and majors to Education Goals, or structure the display of majors in a classic tree configuration.

Additional new features include:

  • Easy sorting of Terms and Majors
  • A new CIP code field in the Majors module
  • A cross-functional College Messaging Editor
  • and more...

Forecasted to launch in September 2017, we'll wrap up the session with a review of the migration and release plan.

BOG Fee Waiver Application: Implementation & QA

Session

Explore the online BOG Fee Waiver Application and participate in a Q&A session with experts from the CCC Chancellor's Office.

This session will endeavor to review the application for new users, discuss the new changes implemented in the 2017-2018 BOG application, and provide a high-level overview of the implementation project:

In this session we will:

  • Review the online BOG application user experience - from creating an OpenCCC account (or recovering an existing one) - through to the Consent and Submission pages;
  • Briefly explore each of the three eligibility methods used to calculate the final BOG Eligibility status: Method A (Special Eligibilities), Method B (Income), and Method D (the new logic added to comply with state legislation AB 801 for Homeless Youth);
  • Discuss the changes and requirements for 2017-2018 BOG Year, implemented in the annual update release on March 31st;
  • Review some custom email rules which can be used to notify students of their preliminary BOG eligibility status.

Audience:  This session is primarily geared towards Financial Aid and IT staff, but appropriate for anyone interested in the online BOG Fee Waiver application.

Basic Report Center Training

An introduction to the basic features and functions of the CCC Report Center, this session - geared towards new and experienced users - will share best practices and tips for analyzing your CCCApply data quickly in a user-friendly, web-based environment.

After a brief overview of the Home page, Library and main navigation menus, we'll explore the Repository which is a hierarchical structure of Public and private folders where administrators and users create and store resources for running reports.

At the end of the session you'll walk away knowing how to:

  • Use the Application Look-Up reports to easily search and retrieve submitted applications by last name, social security number (last 4 digits), or submission date. We will also discus
  • Run reports from the Repository or the Library
  • Build custom (ad hoc) reports from submitted application data
  • Run, customize and export reports using filters and sorting capabilities
  • Schedule recurring reports for print or email
  • Set permissions on reports, views and folders

After the session, the computer lab will be open for attendees that want to explore some of the tips and tricks learned in the session. 

Audience: This session is geared towards new and experienced users of the CCC Report Center.

CCCApply Residency Algorithm 101:
Presentation / Q&A Panel

Interact with members of the CCCApply Steering Committee for a presentation and Q&A session on how the CCCApply residency algorithm calculates the “preliminary” residency determination and AB540 eligibility statuses, and how the integrated Integrity Flags are used to alert staff to potential residency issues and priority registration eligibilities. Current Ed Code legislation and new MIS requirements changes will also be discussed. This popular session should appeal to all CCCApply Standard Application users, and particularly to new users and recent adopters of OpenCCCApply transitioning from a homegrown application.

Explore the world of residency and how new state legislation may affect residency status determination for tuition purposes. Advanced Report Center Training:
Creating

Ad Hoc Views

Join members of the CCCApply Steering Committee and Tech Center staff for a more in-depth look using the CCC Report Center for CCCApply. By special request - this session provides a forum for colleges and users who need more advanced training using filters, building cross-tabs, charts, and creating ad hoc reports. We’ll jump right into advanced topics for experienced users, including how to customize Public reports and view templates and how to leverage the power of Jasper reporting software.

In the Report Center we will explore advanced features including using the relative date filter for scheduling recurring reports and creating custom reports using

Ad Hoc Views

.  We will also demonstrate the new "District User Account" for running reports on multiple college data.  

The main Report editing area is where you visually design the report by dragging, positioning, aligning and resizing report elements chosen from the Designer palette.

Jaspersoft Studio has a multi-tab editor. As you can see in the figure above, there are three different tabs: DesignSource and Preview:

  • The Design tab is the main one selected when you open a report file and it allows you to graphically create your report.
  • The Source tab contains the JRXML source code for your report.

  • The Preview tab lets you run the report preview after having selected a data source and output format.
  • After the session, the computer lab will be open for attendees that want to explore some of the tips and tricks learned in the session.

    CCCApply 2017 Annual Update

    Join Patty Donohue, Product Manager, and members of the CCCApply Steering Committee, for a high-level review of the approved change requests, new enhancements, and key MIS reporting changes that will be released in the upcoming annual update on March 31st. Attendees will walk away with information and answers to questions such as, “How will these changes affect my job in Admissions? Do I have to update any of our admissions forms or current processes due to these changes? What new data fields are being added to the application and what does our IT staff need to do to update our student information system?” This session is always popular with staff who rely on the CCCApply application data for residency, financial aid, research, MIS reporting and other student support needs.

    Discuss recent and upcoming changes to the OpenCCCApply applications, from bug fixes, to residency algorithm updates, and new features. This is your chance to understand the changes made during the March 27 Update and see what's in hopper for the next release.  This session is also an opportunity to provide feedback and submit ideas for changes as we move into the next fiscal year.

    Ideal for Admissions staff with residency experience, this session explores the residency algorithm built in to CCCApply and how the preliminary residency status is calculated.  Hear from experts about how the algorithm was developed and how it has been adapted over the years to meet changing rules, Ed Code, and other legislation.  We'll also explore the OpenCCCApply Data Dictionary(s) and how to read the data elements, form specifications, and the residency logic.

    Join our past and present CCCApply Steering Committee Chairs for a review of upcoming changes and enhancements that will affect the OpenCCCApply applications, including recent legislation, state-wide initiatives, and changes to our existing algorithms, downloads and flags. We will also address:

    • CCCApply’s revisions to collect accurate Social Security and Taxpayer ID numbers 
      AB620: A phased approach to collecting sensitive information relative to student gender identity and expression 
    • New eligible VISA types and corresponding Integrity Flags 
    • Confirmation messaging to new OpenCCC student accounts and other messaging to streamline the application process
