Problem / Issue

Santa Barbara City College submitted a series of change requests pertaining to the International Application.  See the details below.

  1. Can there be a red asterisk to indicate which fields are mandatory?

  2. When creating account:

  • Phone number field is only in US format.

    • Add a field for international phone number format

    • Please add a box saying “I do not have a US phone number”

    • See request for standardized formatting for international numbers from Michael Severa, LACCD

      Hi. I was wondering whether there is any plan to introduce phone number conventions/restrictions to the international app phone fields. At the moment, it appears to be a free form text entry field (currently even possible to enter alpha characters), which means parsing the field must happen after download. I notice the download client has a phone formatter, but that seems to be just a text processing method and not a parsing algorithm per se.

      Obviously international phone numbers are non-trivial, so I understand if the goal is not to try to get into that, but I just wanted to find out in case its been discussed or even planned. Thanks!

       

  • Social Security Number

    • Move check boxes for the following fields to the top of the Social Security Section

      • “Check this box if you do not have a Social Security Number”

      • “Taxpayer Identification Number”

      • “decline to provide one at this time.”  

      • “I am an international student….”

    • If not, is there a way to emphasize that only U.S. SSN and U.S. ITIN is being collected?


3.  We want to be able to "hide" certain sections, questions, and menu options. Examples:

  • Education tab

    • English Proficiency:  Please remove.  

    • Education level/history -

      • Add “Other Schools” to encompass language school/s attended

      • Increase the number of characters allowed for school names

      • Attendance end date: can we list “currently attending” or a bit of info-text indicating to list the date the current session will end?


  • Visa/Dependents tab

    • Visa options: Change to list only “F-1” or “No Visa Yet”. Can we remove or hide all the other visas listed?

    • Remove or hide I-94 number questions

    • IA-2016-02:  Add Check box Question to VISA/I-94 Section for Living in the US



4. Can we have the option to provide "help" pop-up windows for certain questions?

5.  Can we add supplemental questions within the various sections? For example:

  • SEVIS tab

    • “How many OPT/CPT do you have?”change to “how many OPT/CPT have you had”

    • Add a box that says “I’m currently on OPT”

Proposed Solution

Each item will be reviewed through the CCCApply Change Management process (Steering Committee), as well as reviewed by the CCCTC development team. Once the initial reviews are complete, the approved changes are reviewed again to assess technical complexity and prioritized accordingly. 

The following comments have been added to each items listed in the Problem Statement above:

  1. Can there be a red asterisk to indicate which fields are mandatory?

    DEFERRED.  The CCCApply Steering Committee has already declined this change request several times in the past relative to the Standard (domestic) Application.  However, understanding that the admission requirements for international students may require responses to questions that are "optional" in the Standard Application, this request will be reviewed by the 2017 International Application Sub-Committee of the Steering Committee for recommendation.
     

  2. When creating account:

  • Phone number field is only in US format.

    • Add a field for international phone number format

    • Please add a box saying “I do not have a US phone number”

APPROVED / DEFERRED.  This request is approved by the CCCApply Steering Committee; however, technical review has indicated that in order to do this properly it should be deferred to CCCApply 3.0.  Meanwhile, a temporary fix/implementation will be proposed to better address international phone numbers until new application has been developed.


  • Social Security Number

    • Move check boxes for the following fields to the top of the Social Security Section

      • “Check this box if you do not have a Social Security Number”

      • “Taxpayer Identification Number”

      • “decline to provide one at this time.”  

      • “I am an international student….”

    • If not, is there a way to emphasize that only U.S. SSN and U.S. ITIN is being collected?

DEFERRED.  The current implementation of the Social Security Number section in the OpenCCC Account is mandated by the CCCCO in accordance with the Internal Revenue Services (IRS). Therefore, all changes to the language or layout of this section must be approved by the CCCCO Legal Office. As part of the new requirements being gathered and review for new CCCApply 3.0, this section can certainly be reviewed. Meanwhile, the CCCApply Steering Committee will work in conjunction with the 2017 International Application Sub-Committee on a proposed change solution.


3.  We want to be able to "hide" certain sections, questions, and menu options. Examples:

  • Education tab

    • English Proficiency:  Please remove.  

      NOTE:  The English Proficiency section in the current International Application is optional and colleges can choose not to display this section by following the instructions in the CCCApply Administrator User's Guide (see English Proficiency section). 
       

    • Education level/history -

      • Add “Other Schools” to encompass language school/s attended

      • Increase the number of characters allowed for school names (NOTE:  The length of this field was increased to 100 characters in March 2017).

      • Attendance end date: can we list “currently attending” or a bit of info-text indicating to list the date the current session will end?


  • Visa/Dependents tab

    • Visa options: Change to list only “F-1” or “No Visa Yet”. Can we remove or hide all the other visas listed?
      NOTE:  There have been several requests to implement a revision to this section/data field in the current International Application, and this option will be included for review.  The other option proposed for review is to remove all visa types EXCEPT: F1, M1, J1 and Other/None. 
       

    • Remove or hide I-94 number questions
      NOTE:  This will be presented to the International Application Sub-Committee and prioritized for future release or deferred to CCCApply 3.0.
