It is required to go live with the OpenCCCApply standard application prior to implementing the BOG Fee Waiver.  By doing the standard application first, many of the project components will already be done or are not required.
 

The following project components will have already been completed or are not required:

  1. Your contract MOU will be signed and fully executed.  You do NOT need additional contracts for the BOG Fee Waiver or International applications.
  2. You Shibboleth IDP will be up and running in both QA and production.
  3. Your download client will be installed and working.
  4. Your college logo will already be implemented.
  5.  BOG Fee Waiver does not have supplemental questions.
  6. There are no terms or majors to set up for the BOG.
  7. The Report Center has BOG specific reports.  You may have financial aid people who will need training.

Project Components for the BOG

 

These are the project components you will need to implement the BOG Fee Waiver application:

 

  1. Update your download client.  Depending on the age of your download client, you may not have the sample job and format xml files specific to the BOG.  If you do not have them in your respective jobs and formats folders, you can retrieve them from our project website.  You also need to update the transfer-client.jar file in your transfer-client folder with the one found here:  https://qa.admin.openccc.net/transfer-client.jar.
     
  2. Set up your downloads.  Just like with standard applications, you will need a BOG job file and format file.  You will need to adjust the format file to match what your SIS import is expecting for BOG Fee Waiver applications.
     
  3. Authorized Users.  You need authorized users for BOG Fee Waiver in the Administrator.  However, the only two tabs are Reset Downloads and Users.  Request the initial user set up from the tech center.
     
  4. Academic Year.  Toward the bottom of the College tab in the Administrator, ensure the Academic (BOG) Year field is set correctly for your college.  Important:  Even if this field is showing the correct academic year for your college, you must click the update button to activate the setting.  Otherwise, the year(s) will not show in the dropdown list on the application.
     
  5. Testing.  Just as with standard applications, you need to enter test BOG Fee Waiver applications and test them through loading into your SIS.
     
  6. Website.  If you have a link or want a link on your college website for BOG, you need to update/add it.
     
  7. CCCApply.org. This site will be changed on the day you go live to go to the new system for BOG applications for your college.  (Tech Center does this).  If you are not currently using the XAP BOG, your college will be added to cccapply.org.
     
  8. Be sure to disable your BOG application in XAP.
     
  9. XAP BOG Applications.  TheTechCenter, XAP and Unicon are handling the migration of BOG applications so they will be available in theReportCenter.
