This page provides a summary of what is needed to implement the OpenCCC version of the BOG Fee Waiver application.

It is required to go live with the OpenCCCApply standard application prior to implementing the BOG Fee Waiver.  By implementing the standard application first, many of the project components will already be done or are not required. See the list below for the components that should have already been completed or are not required. 

The following project components will have already been completed or are not required:

    1. Your contract MOU will be signed and fully executed. You do NOT need additional contracts for the BOG Fee Waiver or International applications.
    2. You Shibboleth IDP will be up and running in both QA and production environments.
    3. Your download client will be installed and working.
    4. Your college logo will already be implemented.
    5. The BOG Fee Waiver does not have supplemental questions.
    6. There are no terms or majors to set up for the BOG.
    7. The Report Center has BOG-specific reports. You may have financial aid people who will need training.

Project Components for the BOG

These are the project components you will need to implement the BOG Fee Waiver application:

  1. Update your download client.  
    Depending on the age of your download client, you may not have the sample job and format xml XML files specific to the BOG Fee Waiver application.   If you do not have them in your respective jobs and formats folders, you can retrieve them from our project website.   You also need to update the transfer-client.jar file in your transfer-client folder with the latest version found here: OpenCCCApply Download Client - Latest Version.
     
  2. Set up your downloads.   Just like with the CCCApply standard applicationsapplication, you will need a BOG job file and format file. You will need to adjust the format file to match what your SIS import is expecting for BOG Fee Waiver applications. 
     
  3. Authorized Users.   You need authorized to authorize users for the BOG Fee Waiver in the Administrator.   However, the only two three tabs are available in the Administrator: Rules, Reset Downloads, and Users.   Request the Tech Center set up the initial "add user" be set up by the Tech Centerfor you.
     
  4. Academic Year.   The BOG academic year is set near the bottom of on the College tab in the Administrator .  Please ensure (accessed by clicking CCCApply from the Select the application to manage drop-down list ->Select your college -> College tab -> Academic (BOG) Year). Please ensure the Academic (BOG) Year field is set correctly for your college.  

    Note
    Important:  Even if this field is showing the Academic (BOG) Year field shows the correct academic year for your college, you must click the update button Update button on the College tab in order to activate the setting.   Otherwise, the year(s) will not show display in the dropdown Application year to have your enrollment fees waived for drop-down list on the BOG application.
  5. Testing.   Just as with the CCCApply standard applications, you need to enter test BOG Fee Waiver applications and test them through loading into your SIS.
     
  6. Website.  If you have a link or want a link on your college website for BOG, you need to update/add it.
     
  7. CCCApply.org. This site will be changed on the day you go live to go to with the new system for BOG applications for your college.   (Tech Center does this).   If you are not currently using the XAP BOG, your college will be added to cccapply.org.
     
  8. Be sure to disable Disable your BOG application in XAP.
     
  9. XAP BOG Applications.   TheTechCenterThe TechCenter, XAP, and Unicon are handling the migration of BOG applications so they will be available in the ReportCenter.

The following URLs (customized for your college*) are used to submit a BOG Fee Waiver application.  

*Customize for your college by replacing the "xxx" with your college's MIS code. 
 

QA Environment (BOG)

 The The QA environment URL can be used by colleges during the implementation process to test their download file and import process, as well as their custom settings configured in their QA Administrator (i.e., custom rules, supplemental questions, etc.).

Production Environment (BOG)

 Once Once you go live on the BOG Fee Waiver application, replace your existing Xap XAP application link with this the URL below. This URL will also replace the URL that goes to the XAP application on cccapply.org on the day you go live.
