Q. I need clarification on the # of named users per college and per institution. We have two colleges in our Alma institution. In reviewing Exhibit C, the allocation per institution is much lower than the sum of the college allocations. Which is correct?

A. The PDF that was distributed contained an error affecting multi-college institutions. The institution-level allocation was supposed to be the sum of the college-level allocations, but the number showing in that column was much lower. So if one of your colleges was allocated 11, and the other college was allocated 10, and the number 10 shows in the institution column, the actual allocation is 11 + 10, i.e. 21.

Q. We are struggling to get down to our allotted number of named users. We were allotted 13 but have only been able to get down to 20. Previously we had 40 named users! So we have cut that in half, but not sure we can cut any more. What should we do?

A. The key is to determine which users actually need access to Alma. Are they doing work in the system or were they given access as a convenience? Have you looked into sharing accounts (with appropriate attention to information security)? If you absolutely need more than your allocation, you will need to purchase more users. Procedures for that are still to come.
