Part 1: Overview

The information provided in this document serves below is designed to serve as a "Quick Start" guide for the CVC/OEI Enrollment Report within the CCC Data Warehouse Report Server (“DW Report Server”DWRS). With the CVC/OEI Enrollment Report you authorized users can:

About the Data Warehouse Report Server

User Authorization & Authentication

Access to the CVC/OEI Enrollment Report within the Data Warehouse Report Server in the DWRSrequires an authorized user account with two-factor authentication to ensure the privacy and security of the Data Warehouse Report Server.

Support is available to authorized Report Server users in our 24/7 online support Account access will be requested by a single point of contact at CVC/OEI (identified as John Hadad), who will make the request as an email to crms@ccctechcenter.org which is to include the name, title, and email address for the individual(s) for whom access is being requested (or access to be removed).

CVC/OEI Enrollment Report

The CVC/OEI Enrollment Report is titled “Full Application Report By CCCID and MIS Code” and is based on the “Full Application Report” as found in the CCCApply Report Center. Note that this report is generated from CCC Apply data located in the CCC Data Warehouse which is updated nightly, and is not based on real-time production data as found in the CCC Apply Report Center.


The report does not include LGBTQ data (note that the Full Application Report contains a field labeled as “orientation” which indicates whether the applicant completed a college orientation and is not related to data found in the LGBTQ report), and contains the last 4 digits of the SSN (and not the full decrypted number available to Researchers in the DWRS). 

Input/Output

Input to the report is the applicants CCCID and the target colleges MIS code. 

The output is the Full Application Report made available as data.

The resulting data is displayed on screen as a table with rows and columns, and may be downloaded as a structured .csv file. 

If more than one application is found based on CCCID and MIS code, the most recent one is shown. If there are no results for the MIS code and CCCID entered, the query will result in a message that reads “The report is empty”. 

Access to other data

The credentials are designed to provide users with access only to the CVC-OEI report. 

Note that the “Public” directory of data sources is still visible and it will appear as if the user can access the data sources found within the Research view of the DWRS. We have been assured that despite this appearance these data can not be accessed through a user configured with the code “cvcoei”.  

Also note that while it appears that ad hoc report views can be created for these broader DWRS data sources and users may drill down into field names - no resulting data is shown through this view.

When you run a report, it opens in the interactive Report Viewer. With the Viewer, you can personalize and refine the displayed report data. If the report has input controls, you run the report with one set of data and then another.

IMPORTANT: There is a 20K row limit on all reports that are run. When building a Table report, ensure there is one or more filters configured to limit the report data to display under 20,000 rows.

Use the following steps to access your reports once you are logged in to the Data Warehouse Report Server.

You can filter information in your view based on a date range relative to the current system date. You can accomplish this using date-based filters, and entering a text expression describing the relative date or date span you want to display, using the format <Keyword>+/-<Number> where:

  • Keyword indicates the time span you want to use. Options include: DAY, WEEK, MONTH, QUARTER, SEMI, and YEAR. An option used by itself (without +/-<Number>) gives the current value for that option.

  • or - indicates whether the time span occurs before or after the chosen date.

  • Number indicates the number of the above-mentioned time spans you want to include in the filter.
